1. Who we are
This Privacy Policy governs Interdoc, operated by Servatech, a courier business registered in the Republic of South Africa. References to "we", "us" and "Interdoc" mean Servatech in its capacity as the Interdoc service operator.
2. What we collect
To provide the courier service we collect:
- Contact details โ your name, email address, telephone number, and physical addresses (collection and delivery).
- Shipment details โ the description of the contents you are sending, declared value, weight, dimensions, destination, and any handling instructions.
- Recipient details โ the consignee's name, address, contact number, and (where customs requires it) identification or tax number.
- Payment information โ processed by our payment partners; we do not store full card numbers on our servers.
- Account credentials โ if you create an Interdoc account, your email and a hashed password.
- Technical data โ IP address, browser type, pages visited, and standard cookies, used to keep the website secure and improve its usability.
3. Why we collect it
- To pick up, transport, customs-clear, and deliver your shipment.
- To declare your shipment to the South African Revenue Service (SARS) and the destination country's customs authority as required by law.
- To provide tracking updates, support, and quotes.
- To prevent fraud, money laundering, and the carriage of prohibited items.
- To comply with our legal obligations under South African and international law.
4. Who we share it with
We share the minimum information necessary with:
- Our partner carriers and last-mile delivery agents at origin and destination.
- SARS and the destination country's customs authority.
- Payment processors, exclusively to process your payment.
- Government, regulatory, or law-enforcement bodies where compelled by law.
We do not sell your personal information.
5. International transfers
Because Interdoc is by definition an international service, your shipment and recipient details will leave South Africa as part of normal operations. We take reasonable steps to ensure the parties we share this with have appropriate data protection measures in place.
6. POPIA compliance
This policy is structured to comply with the South African Protection of Personal Information Act (POPIA), Act 4 of 2013. You have rights under POPIA to access, correct, and request deletion of your personal information, subject to our legal obligation to retain shipment and customs records for the period required by SARS (currently five years).
7. Your rights
You may at any time:
- Request a copy of the personal information we hold about you.
- Correct any information that is inaccurate.
- Withdraw consent to marketing communications (this does not affect our processing of shipments you have booked).
- Lodge a complaint with the Information Regulator of South Africa.
8. Cookies
We use cookies to keep you signed in, remember your language preference, and gather anonymous usage statistics. You can disable cookies in your browser; the website will still function, but you will need to sign in each visit and reset your language each time.
9. Retention
Shipment and customs records are retained for at least five years to comply with SARS requirements. Marketing data is retained until you unsubscribe. Account data is retained for as long as your account is active, plus one year.
